Contact Alumni
Often times, the Northwestern Alumni Association receives inquiries from student groups on campus who are hoping to get in touch with their alumni. Many student organizations are looking to invite their alumni back to campus for an event, like Homecoming or a centennial celebration. Others are looking for a list in order to send out a newsletter updating their alumni members on what’s happening here on campus.
Each fall, we ask every student group to submit an updated list of group members to the NAA so we can keep up to date records here at the John Evans Alumni Center. This list should include the names, class years, school, position held within the organization and email address for both Executive Board members and committee members. Unfortunately, we are only able to keep track of the alumni that you and your student group provide us with, so if you have never submitted a list of current group members or previous group members, now is a great time to start!
Please be aware that alumni lists are NOT to be used for fundraising purposes. If you are intending on using the list for fundraising purposes, you MUST receive approval from the Office of Development before moving forward with your project. If you do not receive approval from the Office of Development, the NAA has the right to revoke your database access privileges.
Below are the details of the Alumni List Request Procedure:
Process (1) Submit request along with the purpose and use of the list to the alumni association (students@alumni.northwestern.edu) (2) Obtain approval from the NAA (3) Wait approximately 10-14 days for processing, see turnaround time section below. (4) List is returned to student group.
Turnaround time
- It will take 10 -14 days for your student organization to receive the list from the NAA.
- General formatting
- You may ask for specific information, such as home or work address, email or phone.
- We may show degree information (school, year, major), except where prohibited by FERPA.
- You may request an Excel file or labels.
- We can only release information that is not controlled by privacy request.
- We can increase efficiency in this process by considering first what information we want to see. This will save time and "re-runs" of the list.
Blackout periods During peak operating times, the above turnaround time will be adjusted. Most generally, these times are in accordance with end of the year gift processing, commencement times and new student entry times.
Usage Alumni data is not be used for fundraising purposes unless approved by the Development office. Make sure you obtain approval from the development office otherwise the NAA will revoke your database access privileges.
Student Groups If you are a student group requesting a list, you must provide a list of all active members. This ensures that we will be able to provide updated lists to future groups.
